Training Terms & Conditions

These Terms and Conditions apply to you, the authorised representative, and the organisation you represent when booking training programs with Strategic Operations International (SOI). By requesting and booking our services, you acknowledge that you are authorised to agree to these terms on behalf of your organisation and its participating attendees.

Booking and Payment Terms

You may only book your training programs once you have received and agreed to a final quotation via the SOI website. Following agreement, an invoice will be sent to you via email. Your preferred training dates are only secured and confirmed once full pre-payment has been made. Payment must be made at the time of your initial booking via Direct Debit, PayPal, Credit Card, or EFT, with all necessary payment details provided in your confirmation email. Once full payment is complete, your training program is officially booked, and SOI will fulfil its obligation to deliver the training.

Cancellation and Credit Policy

Your confirmed training dates are reserved exclusively for your organisation. Once full payment has been received, SOI may decline other enquiries and potential bookings for those dates.

For training booked and paid for less than 90 calendar days in advance, you may cancel without penalty by providing written notice no later than 14 calendar days before the scheduled training date. You may choose either a full refund or a credit towards future SOI training.

For training booked and paid for 90 calendar days or more in advance, the dates are considered advance reserved dates. If your organisation subsequently cancels the training, including where more than 14 calendar days' notice is provided, the payment will not normally be refunded. Instead, the amount paid will be retained as a credit towards a future SOI training program. This reflects the fact that SOI may have declined other work while those dates were reserved exclusively for your organisation.

Any credit issued under this policy is subject to the following conditions:

  • The replacement training program is subject to SOI availability and written confirmation.
  • A new quotation will be prepared based on the services, participant numbers, location, travel requirements and prices applicable when the replacement training is requested.
  • If the new quotation exceeds the available credit, your organisation must pay the difference before the replacement dates are confirmed.
  • The credit must be used within 12 months of the original scheduled training date unless otherwise agreed by SOI in writing.
  • The credit cannot be transferred to another organisation or redeemed for cash.

If your organisation cancels 13 calendar days or fewer before the scheduled training date, the full training fee will be retained, and no refund or credit will be provided.

Where multiple training programs forming part of the same booking are cancelled 13 calendar days or fewer before their scheduled dates, SOI will retain the fee applicable to the first training program. Any remaining amount may be provided as a credit, subject to deductions for costs already incurred by SOI.

Any third party or non-recoverable expenses incurred in connection with the booking, including airfares, accommodation, venue hire, equipment, transport and other travel expenses, will be deducted from any refund or credit that might otherwise be available.

If SOI cancels a training program and cannot provide a suitable alternative date, your organisation may choose either a credit or a refund of the amount paid, except where circumstances outside SOI's reasonable control permit a different remedy under applicable law.

Nothing in this policy excludes, restricts or modifies any rights or remedies that cannot lawfully be excluded under the Australian Consumer Law.

Late Attendance Policy

Due to the high probability of back-to-back training programs and the need to meet associated logistical obligations such as flights, your training must run strictly according to the booked times. If your participants are running late, we cannot delay the start time of the training program. The training will still conclude at the originally scheduled finish time, and your organisation will still be charged for the full duration of the booked session.

Privacy Policy

SOI is highly committed to protecting the privacy of your organisation and your participants. We strictly abide by Australian privacy laws and comply with their provisions to ensure that all personal and confidential data you provide during your dealings with us is treated accordingly and securely.

Risk of Injury and Medical Fitness Consent

As the authorised representative, you acknowledge that there is an inherent risk of injury associated with participation in any physical contact scenario. These risks may increase during activities involving physical contact, moving objects, interaction with other individuals, or the use of third-party training equipment. Potential risks include, but are not limited to: injury to the head, neck, spine, muscular or skeletal systems, or internal/external organs; loss of or damage to sight, hearing, or teeth; pain, scarring, or disfigurement; and loss of income, career opportunities, or overall enjoyment of life.

You represent that you have supplied all relevant information regarding the medical fitness of your participants. It is your organisation's and each individual participant's responsibility to ensure they are aware of their general health and physically capable of participating in an SOI training environment. On behalf of your organisation, you formally recognise these possible physical risks and grant informed consent for all your participants to engage in the training, including the use of any third-party equipment.

It must not be construed as legal or medical advice on any subject matter.
